Scope

This policy explains how we collect, use, share and protect personal data when you visit our website, send us an enquiry,
contact us by phone, WhatsApp, email or social media, or book travel, Umrah, honeymoon, hospitality or event packages
with us. It applies to customers, prospective customers and anyone travelling on a booking made with us

  • Booking details: names, dates of birth, gender and nationality of all travellers; passport numbers, issue and expiry
    dates; visa information; emergency contact details; frequent flyer or loyalty numbers.

    passport copies, photographs, vaccination certificates and, where required, details of a mahram or accompanying
    relative.
  • Special requirements: dietary needs, mobility or accessibility needs, medical information relevant to your travel,
    and religious requirements such as halal dining or prayer arrangements.

  • Communications: messages, emails, call notes and WhatsApp conversations with our team.
  • Reviews and feedback you choose to give us, including via Trustpilot.

Information we collect automatically

  • Technical data such as IP address, browser type, device type, pages visited and time on site, collected through
    cookies and similar technologies. See our Cookie Policy.

Information from third parties

  • Suppliers (airlines, hotels, transfer and ground handling partners) may share booking confirmations and changes with
    us.
  • Social media platforms (Facebook, Instagram, TikTok) when you message us through them.

Special category data

Some information you give us may be special category data under UK GDPR — for example, health or mobility
information, or information that reveals your religious beliefs (such as booking an Umrah package or requesting prayer
facilities).

We only use this information where it is needed to arrange your trip or meet your requirements, and we process it on the
basis of your explicit consent (Article 9(2)(a) UK GDPR) or where it is necessary to protect someone’s vital interests in an
emergency (Article 9(2)(c)). You can withdraw consent at any time, but this may mean we cannot arrange certain
services.

Who we share your data with

We only share what is needed for each purpose:

  • Travel suppliers: InteleTravel UK, our host agency, which processes bookings and payments; tour operators,
    airlines, hotels, transfer companies, tour guides, ground handlers, event and hospitality providers, and Umrah service
    agents in Saudi Arabia.
  • Government and border authorities: including visa authorities and the Saudi Ministry of Hajj and Umrah, and
    airlines’ Advance Passenger Information requirements.
  • Financial protection bodies: the Civil Aviation Authority (ATOL) and ABTA, through the suppliers and organisers
    who protect your booking.
  • Service providers: payment processing, website hosting, email, WhatsApp (Meta), IT support, accountants and
    insurers. They act on our instructions under contract.
  • Professional advisers and authorities where required by law, to prevent fraud, or to establish or defend legal
    claims.

International transfers

Because we arrange travel abroad, we must send some data to suppliers outside the UK, including in Saudi Arabia, the
UAE, Turkey, Egypt, the Maldives and Barbados. Where a country does not have UK adequacy status, transfers are made
because they are necessary to perform your travel contract (Article 49(1)(b) UK GDPR) or under appropriate safeguards
such as the UK International Data Transfer Addendum. Some of our service providers (such as Meta for WhatsApp) may
process data in the United States under the UK–US Data Bridge or equivalent safeguards.

How long we keep your data

  • Enquiries that don’t lead to a booking: up to 12 months from our last contact.
  • Booking and financial records: 6 years after the end of the financial year in which you travelled, to meet tax,
    accounting and limitation requirements.
  • Passport copies and visa documents: deleted within 3 months of your return, unless needed for an ongoing claim.
  • Marketing data: until you unsubscribe or withdraw consent.

How we protect your data

We use appropriate technical and organisational measures, including encrypted connections (HTTPS), access restricted
to staff who need it, secure password practices and contracts with suppliers that require them to protect your data. No
transmission over the internet is completely secure, so please avoid sending passport images over unencrypted channels
unless we have asked you to.

Your rights

Under UK data protection law you have the right to:

  • access the personal data we hold about you;
  • have inaccurate data corrected;
  • have your data erased in certain circumstances;
  • restrict or object to our processing, including objecting to direct marketing at any time;
  • data portability;
  • withdraw consent where we rely on it;
  • not be subject to decisions based solely on automated processing (we do not carry out such processing).

To use any of these rights, email info@thetravelops.co.uk. We will respond within one month. There is normally no
charge.

Marketing

We will only send you marketing by email, SMS or WhatsApp where you have agreed to it, or where you are an existing
customer and we are telling you about similar travel services (you can opt out at any time). Every marketing message
includes a way to unsubscribe.

Children

Our website is not aimed at children. We collect children’s details only when a parent or guardian books travel for them,
and only as needed for that booking.

Third-party links

Our website links to third-party sites such as Facebook, Instagram, TikTok, Trustpilot and WhatsApp. We are not responsible for their privacy practices; please read their policies.

Complaints

If you are unhappy with how we have handled your data, please contact us first so we can try to put it right. You also have the right to complain to the Information Commissioner’s Office: ico.org.uk, 0303 123 1113, Wycliffe House, Water Lane, Wilmslow, Cheshire, SK9 5AF.

Changes to this policy

We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated.
